As a K-12 college preparatory school, Miami Country Day School must keep pace with the latest technologies to meet e-discovery guidelines and regulations, especially when it comes to managing their email communications. “Mail Archive eliminates a lot of questions, and we don’t have to worry about it, because we know that emails can’t be modified,” said Dennis Cote, Miami Country Day School’s IT service manager. “It’s a matter of convenience. We can tag emails for legal reasons, and it gives us a real chain of custody, which we never had before. It’s a lot of work to prepare for a legal case – going through machines individually, searching archives, dealing with PSTs, etc. We can avoid these time-consuming headaches with the service, because it’s so much easier to search for and tag specific emails.”
In addition, with only three full-time IT staff supporting 1,000 end users, the organization was looking for enhanced mailbox management tools to reduce mailbox sizes and eliminate quotas. “We were hampered by quotas for 20 years, until we migrated to Microsoft Exchange and added archiving,” noted Cote. While an on-premise email archiving solution was a consideration, Miami Country Day ultimately chose LiveOffice’s software-as-a-service solution because it was able to meet all the requirements, while also freeing up the technical staff to focus on more strategic initiatives.

A September 2008 survey conducted by Osterman Research polled 165 IT managers and email administrators at midsize organizations nationwide. The findings reveal that 50 percent of respondents do not currently have an email continuity solution in place. Of those who say they do, nearly half are relying on tape backups. But tape backups fall short for email continuity in several aspects:

When a company with Mail Continuity experiences a primary server failure, its IT administrator can immediately activate the service through a web-based interface or by contacting LiveOffice toll-free. Users can then access a seven-day rolling archive of their recent messages via a dedicated folder in Microsoft Outlook or remotely through a web-based, Microsoft Outlook-like interface. They also have the ability to compose, read, forward, reply to, spell check and format email during the downtime.
